Meeting Cost Calculator
Add who is in the meeting and roughly what they earn to see what it costs per minute, per meeting and per year, with a live ticker to share on screen. Nothing is uploaded.
Calculate the cost of a meeting from mixed salaries: add a group per role with yearly, monthly or hourly pay, in any currency (₹ INR by default). Change the 2,080 hours a year default, add an overhead multiplier for benefits, see the yearly cost of a recurring meeting, and run a live meeting cost ticker that stays correct in a background tab.
Hourly rate = yearly pay ÷ working hours per year (or monthly pay × 12 ÷ working hours). Recurring meetings: 260 a year daily (weekdays), 52 weekly, 26 fortnightly, 12 monthly. Pay figures are your estimates; no tax or payroll rules are applied.
One group per role or pay level, e.g. 4 engineers on a yearly salary and 1 contractor paid by the hour. Use a dot for decimals (120000.50); commas and spaces are read as thousands separators.
How to use the Meeting Cost Calculator
- For each role or pay level, enter how many people attend and their pay, and pick whether that pay is per year, per month or per hour. Press Add group for more.
- Pick your currency, and change the working hours per year or turn on the overhead multiplier if you want.
- Enter the meeting length and how often it repeats to see the cost of one meeting and the cost per year.
- When the meeting starts, press Start on the ticker. Use Full screen to share it on screen.
Frequently asked questions
How is the cost of a meeting worked out?
Each group's pay is turned into an hourly rate (yearly pay ÷ working hours per year, monthly pay × 12 ÷ working hours per year, or the hourly rate as entered), multiplied by the number of people and by the overhead multiplier if you turned it on. The rates are added up and multiplied by the meeting length.
Why 2,080 working hours a year?
It is 40 hours a week × 52 weeks, the usual full-time figure. Holidays and leave make the real number lower in most countries, and a lower figure gives a higher hourly cost, so change it to match your team.
How accurate are the results?
They are only as good as the pay figures, which are estimates you enter. No tax or payroll rules are applied: there is no employer tax, pension or benefit calculation beyond the optional overhead multiplier (1.3 means 30% on top of pay). Amounts above 1,000,000,000,000,000 are not accepted.
How do I type amounts like 1,20,000 or 120,000.50?
Both work. Use a dot for decimals (120000.50); commas and spaces are read as thousands separators. That means 1.234,56 written the European way is not read correctly, so type 1234.56 instead.
Does the live ticker keep counting in a background tab?
Yes. The ticker works out the elapsed time from the clock each time it updates rather than counting ticks, so it shows the right time and cost when you come back to the tab, even if the browser slowed it down meanwhile.
Is anything I type sent anywhere?
No. Everything is calculated in your browser. Your attendee groups, currency, working hours and overhead setting are remembered in this browser only; Clear removes them.
Fun facts about meeting costs
- Adding one person to a weekly one-hour meeting adds 52 hours of their time a year, more than a full working week.
- A daily 15-minute stand-up takes 65 hours a year from each person who attends (260 weekdays × 15 minutes).
- The 2,080-hour default assumes no holidays or leave at all; take those out and most full-time years are well under 2,000 hours, which makes each hour of a meeting cost more.
- Amazon's "two-pizza team" idea keeps teams, and so their meetings, small enough to be fed by two pizzas.
